Vendor Terms & Conditions
By submitting a vendor application and participating in the Yep Kanum Celebration, the vendor agrees to the following Terms & Conditions.
Vendor Application & Approval
Submission of a vendor application does not guarantee acceptance. All applications are subject to review and approval by event organizers. Event organizers reserve the right to accept or decline any application at their discretion.
Vendor Fees & Refund Policy
Vendor fees must be paid in full by the deadline provided in the approval notice. All vendor fees are non-refundable, including but not limited to circumstances involving vendor cancellation, failure to attend, weather conditions, delays, or event cancellation beyond the control of event organizers.
Vendor fees will not be refunded if a vendor is denied participation or removed from the event due to:

Failure to comply with event rules, policies, or safety requirements

Failure to provide required documentation (permits, licenses, or insurance)

Misrepresentation of products or services

Use of unapproved equipment or booth setup

Unsafe, disruptive, or non-compliant behavior
Insurance Requirements
All food vendors must carry general liability insurance with a minimum coverage of $1,000,000 per occurrence.
A valid Certificate of Insurance must be provided naming Yep Kanum Celebration and the City of Colville, Washington as Additional Insureds for the duration of the event.
Marketplace vendors may be required to provide insurance depending on the products sold (including, but not limited to, knives, sharp tools, or other higher-risk items). Event organizers will notify vendors if insurance is required.
Failure to provide required insurance documentation may result in removal from the event without refund.
Permits, Licenses & Compliance
Vendors are responsible for obtaining and maintaining all required permits, licenses, and approvals applicable to their operation. This includes, but is not limited to, health department permits, temporary food service permits, and business licensing as required.
All required documentation must be submitted by the deadline communicated by event organizers.
Setup, Equipment & Safety Requirements
Vendors must comply with all event setup, operational, and safety requirements to ensure a safe environment for attendees, vendors, and staff.
Tents & Canopies

All tents and canopies must be properly secured.

A minimum of 40–50 pounds per corner is required for all tents.

Stakes are not permitted unless explicitly approved.

Improperly secured tents may be required to be removed immediately.
Equipment Safety

All equipment must be in safe working condition.

Extension cords, generators, and power sources must be rated for outdoor use.

Cords must not create tripping hazards.

Cooking equipment and open flames must comply with all fire and health regulations.
Cleanliness & Waste

Vendors must maintain a clean and orderly booth.

Waste, grease, and wastewater must be disposed of properly.
Failure to correct safety or compliance issues may result in immediate removal from the event without refund.
Load-In, Load-Out & Vehicle Access
Vendors must comply with all event load-in and load-out procedures as directed by event organizers.

Load-in and load-out times will be communicated prior to the event.

Vendor vehicles must be removed from the event area by the designated time.

Vehicle access within the event footprint may be restricted during public event hours.

Unauthorized vehicle access or failure to follow instructions may result in removal from the event without refund.
Generators, Power & Fuel Use
Vendors using generators or fuel-powered equipment must operate such equipment safely and in a manner that does not create excessive noise, fumes, or safety hazards.
Event organizers reserve the right to require adjustment, relocation, or shutdown of generators or equipment and to address fuel storage or refueling concerns as needed during the event.
Failure to comply with generator or fuel safety instructions may result in removal from the event without refund.
Liability & Indemnification
Vendors assume all responsibility for their property, products, equipment, employees, and activities. Vendors agree to indemnify and hold harmless Yep Kanum Celebration, event organizers, volunteers, sponsors, and the City of Colville from any claims, damages, losses, or liabilities arising from vendor participation.
Media Release
Vendors grant permission for Yep Kanum Celebration to use photographs, video, or other media captured during the event for promotional and marketing purposes without compensation.
Event Conditions
The Yep Kanum Celebration is a rain-or-shine event. Event organizers reserve the right to modify event details, layout, schedule, or vendor placement as necessary for safety or operational reasons.
Agreement
By submitting a vendor application, the vendor acknowledges that they have read, understand, and agree to these Vendor Terms & Conditions.
